I love the ‘point and click'. Just point at any phone number on the Internet and up pops ‘Instant Dial' and click to dial. The phone number is logged in the computer with the date and time for my future reference.

Here is a tip for my fellow agents. I let most calls go to Voice Mail and then I return them about 20 or 30 minutes later. That way I can get off the phone quicker since the person who makes the call (me) should end the call. This saves me time from clients who have nothing to do but jabber on and on and I have to hold the phone and act interested or I could lose their business.

I never run for the phone anymore. I don't fish in my purse for a phone while eating a meal. I don't interrupt time with my children to take a call. I don't stop in the grocery store to talk to a new client who can't hear me and I can't hear them with a bad connection. When I am relaxed with a cup of coffee and organized with my appointment calendar and pen and paper, I call them back. I feel more professional and I think this gives them confidence in me.

I get more messages and less hang ups with a professional phone answering system.

The telephone log is the best. Sometimes, I wake up at night and think: Did I call that attorney? Did I call the lender? Did I call the other Realtor? As soon as I see their number on the log, I remember the conversation and go back to sleep. Well, almost always.

Benefits you don't expect. My college kids check in more often on my toll free number than when they had to use cell minutes. I gave my retired parents my number so they can call without incurring a phone bill.

I answer calls when I can but when I can't, I program them go to Voice Mail. My recording says, “This is Susan's phone manager. Susan is unavailable now but I have recorded your number and will have her return your call as soon as she is free. You can also leave a message. Thank you for calling”. Then I have a perfect reason for returning the call without the obvious caller ID thing.

I really can manage my calls. At the time my children might pick up a ringing phone I program my calls to go to my cell phone or Voice Mail; always between 3:00 pm and 8:30 am weekdays and all weekends.

I automate the questions I am asked frequently before I give people an opportunity to connect to me or to leave a message. Some of these are my office address, hours, fax number, E-mail address, and website. Saves time, saves money. I love it!
